Introduction to Mailings

In this article, we’ll introduce you to the different types of Mailings available in Spektrix. You'll also find links to other resources you might find helpful.

 

What is a Mailing?

A Mailing is an email or postal communication sent from your organisation to your customers. You can choose which customers receive the mailing by building a Customer List.

You'll find Mailings in the Insights and Mailings Interface > Mailings:

TIP: To access Insights & Mailings, you’ll need the Insights & Mailings User or Insights & Mailings Administrator Role. If you don’t have these Roles, ask the Spektrix administrator in your organisation to add these Roles to your User Account.

There are two different types of Mailing:

  • Standard Mailing: a postal mailing
  • Integrated Email: an email campaign sent through Dotdigital

 

Standard Mailings

You can use Standard Mailings for any postal mailings where you want to output a list of customers to use in a Mail Merge or to send to a mailing house. You’ll need to manually log Standard Mailings.

TIP: Before you can log a Standard Mailing, make sure you’ve added the Fulfillment Method and Cost per send.

Integrated Mailings

Integrated Emails are automatically logged when you send an Email Campaign through Dotdigital. The cost per send is automatically calculated.

Before you can send an Integrated Email, you’ll need to create a Campaign in Dotdigital.

How do I create a new Mailing?

There are two places where you can create new Mailings:

  • In Insights & Mailings > Mailings. Click New standard mailing or New integrated email.
  • In a Customer List, in the Main Filter, Pre Filter or Output, select Use in standard mailing or use in integrated email.

Searching for and viewing Mailings

You can search for previously logged Mailings by searching in Insights & Mailings, or by looking at a Customer Record:

 

Mailings Settings

You'll configure Mailings Settings to add Mailing Categories, Fulfilment Methods and set a default Output Template.

To access Mailings Settings, go to Mailings > Mailings Settings:

 

Mailing Category

You can use Mailing Categories to log the type of Mailing. The default categories are:

Fulfilment Method

You can use the Fulfilment Method to define the different types and costs of mailings in your system.

Output Template

When creating new Customer Lists and Mailings, you can set up default output columns in the Output Template.

The Output Template will be used by default, this means you won’t need to select the output columns each time you build a Customer List or log a Mailing.

To set up the Output Template, follow these steps:

  1. In Insights & Mailings, go to Mailings > Mailing Settings:


  2. Scroll down to the Output Template section
  3. Untick Only show commonly used columns:


  4. Drag the Metrics you want to output into the dotted box under output columns:


  5. Repeat the previous step to add more Metrics to the Output Columns
  6. To sort by Metric, drag the Metric you’ve selected in the previous step to the dotted box under Sort By:


  7. Choose your sort order:


  8. To change the position of the Metrics in the Output, drag the Metric to the dotted box where you want to display the data:
