Creating and Managing Collect Reports Users

This article is intended for users who’d like to set up and manage Collect Report Users to be granted access to the Partner Companies Interface. 

To set up collect report users, you’ll need access to the Insights & Mailings Interface.

 

Who can access the Partner Companies Interface?

Collect Report Users are users who can retrieve selected Reports and Customer Lists via email or through the Partner Companies Interface. Collect Report Users can include Spektrix users and users from Partner Companies outside of the organization.

Insights & Mailings Users and Administrators can create new Collect Report User accounts and add Collect Report Roles to existing Spektrix users without the Settings Administrator role and accessing the Settings Interface.

TIP: Settings Administrators can also create new accounts and add Collect Report Roles in the Settings Interface. For more information, read Creating and Managing User Accounts.

Once you have set up Collect Report Users, you can assign them Reports or Customer Lists by setting up Report Schedules or Customer List Schedules.

 

How to view Collect Report Users

Collect Report Users can be managed in the Insights & Mailings Interface > Report Schedules > Users or in the Insights & Mailings Interface > Customer List Schedules > Users. Both locations contain the same list of users and function exactly the same.

 

Here you will have a list of all Spektrix Users and Collect Report Users. You can view:

  • Their User Name
  • Full Name
  • Email
  • If they have the Collect Report User Role
  • If they are active

You can view inactive users by checking the View inactive? box in the upper right of the screen.

From this screen, you can add new users, edit existing users and change passwords for some users.

TIP: Some edits can be done in the Insights and Mailings Interface only if the account was created in the Insights & Mailings Interface. For existing Spektrix users, edits must be done in the Settings Interface. For more information, read Creating and Managing User Accounts.

 

How to add a new Collect Report User

To add a new Collect Report User, click Add on the lower right of the Users screen. You’ll see the New Collect Report User screen:

 

 

Add the following required details:

  • User Name: This cannot be changed.
  • Full Name: In order of First Name then Last Name.
  • E-mail: This email will be used during Report Schedules and/or Customer List Schedules setup. This is case sensitive.
  • Password: Password must be at least 15 characters long.
  • Confirm password 

    WARNING: We recommend you communicate the password to the user in person – never write down or email passwords.

Click Add to create the new user. They’ll now be listed under Users.

 

How to add the Collect Report User Role to an existing Spektrix User

You can give an existing Spektrix user the Collect Report User Role. This is useful if the user does not have access to the Insights & Mailings Interface and/or if they’d like to receive emailed Report Schedules and/or Customer List Schedules.

To add the Collect Report User Role to an existing Spektrix User:

  1. Find the user on the Users screen.
  2. Click Edit next to their account.
  3. Check the Collect Reports? box.
  4. Click Save. Click Cancel to discard changes.

 

How to change a Collect Report User’s password

If a Collect Report User is unable to access their account, you can change their password for them.

TIP: You can only change a Collect Report User’s password in the Insights and Mailings Interface if the account was created in the Insights & Mailings Interface.

To change their password:

  1. Find the user on the Users screen.
  2. Click Change Password:

  3. You’ll see the Change User Password Screen:

  4. Enter and confirm the new password.
  5. Click Ok to save. Click Cancel to discard the new password.

TIP: For security purposes, we recommend you advise the user to change their password once they’ve logged into their account.

 

How to edit Collect Report User’s name or email address

TIP: You can only edit a Collect Report User’s name or email address in the Insights and Mailings Interface if the account was created in the Insights & Mailings Interface.

To edit a Collect Report User’s name or email address:

  1. Find the user on the Users screen.
  2. Click Edit.
  3. From the screen, you can edit:

    • Full Name (In order of First Name then Last Name)
    • Email (case-sensitive)
  4. Click Save. Click Cancel to discard any changes.

 

How to remove the Collect Report Role

You can remove the Collect Report Role from any user.

To remove the Collect Report Role:

  1. Find the user on the Users screen.
  2. Click Edit.
  3. Uncheck the Collect Report? box.
  4. Click Save. Click Cancel to keep the role.

WARNING: If you remove the Collect Report Role, you can’t edit the account. This includes users created in the Insights & Mailings Interface.

 

How to deactivate a Collect Report User

TIP: You can only deactivate a Collect Report User in the Insights and Mailings Interface if the account was created in the Insights & Mailings Interface.

To deactivate a Collect Report User:

  1. Find the user on the Users screen.
  2. Click Edit.
  3. Uncheck the Active box.
  4. Click Save. Click Cancel to keep the account active.

Users will lose access to the Partner Companies Interface. This includes the ability to download reports from email links.

 

How to reactivate a Collect Report User

TIP: You can only reactivate a Collect Report User in the Insights and Mailings Interface if the account was created in the Insights & Mailings Interface.

To reactivate a Collect Report User:

  1. From the Users screen, check the View inactive? box on the upper right of the screen
  2. Find the user.
  3. Click Edit.
  4. Check the Active box.
  5. Click Save. Click Cancel to keep the account inactive.

 

How to assign Reports and Customer List Schedules for Collect Report Users

Creating new Collect Report Users and adding the Collect Report Role to existing Spektrix users grants them access to the Partner Companies Interface and gives them permission to run preselected Reports and/or Customer Lists and/or receive them via email.
