Limiting Offers using Offer Limit Groups

When selling tickets or items, you might want to limit the amount of times or discount that is applied across your Offers. You can set limits against individual Offers or apply limits to Offers in bulk using Offer Limit Groups.

Before reading this article you should be familiar with:

 

What is an Offer Limit Group?

In Spektrix each Ticket can only have one Offer applied to it. If more than one Offer is available, the system will first apply the Offer which gives the largest discount across the whole Basket/Cart. Any other eligible Offers will be applied against the remaining Tickets until all possible Tickets have been discounted.

If you're using multiple Offers, you can use Offer Limit Groups, which enables you to set limits that apply across groups of Offers. This means that an Offer will not apply if either:

  • The Offer’s own limit rules have been met
  • The parameters of any Offer Limit Groups that an Offer sits within are met

 

How to set up an Offer Limit Group

To set up an Offer Limit Group, follow these steps:

TIP: To access the Admin Interface, you’ll need the General Administrator Role. If you don’t have this Role, ask the Settings Administrator in your organisation to add this Role to your User Account.

  • In the Admin Interface, go to Other > Offers

  • Click Edit Offer Limit Groups:

  • In the Offer Limit Groups screen, click New:

  • Enter the Offer Limit Group Name

  • Set Max Items and/or Max Discount:

    • Per Event: The maximum number of times the discount can be applied or the maximum value of the discount that an Offer can apply per eligible Event. Each Event included in the Event criteria will have its own allocation of Offer applications or overall discount value.

      For example, if you have an Offer with a 30 per Event limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, the Offer can be applied up to 30 times across the whole run of "Aladdin" and 30 times across the whole run of "Jungle Book." The 30 per event limit can be spread across one or multiple Instances and/or one or multiple Customers. This would be a maximum of 60 Offer applications in total from two Events.
       
    • Per Event Instance: The maximum number of times the discount can be applied or the maximum value of the discount that an Offer can apply per eligible Event Instance. Each Event Instance included in the Event criteria will have its own allocation of Offer applications or overall discount value.

      For example, if you have an Offer with a 30 per Event Instance limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, the Offer can be applied up to 30 times on each Instance of "Aladdin" and "The Jungle Book." The 30 per Event Instance limit can be spread across one or multiple Customers. This would be a maximum of 180 Offer applications in total from six Event Instances.
       
    • Per Offer: The maximum number of times the discount can be applied overall or the maximum amount of discount an Offer can apply across all eligible Events.

      For example, if you have an Offer with a 30 per Event Instance limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, the Offer can be applied up to 30 times across the two Events. The 30 per Event Instance limit can be spread across one or multiple Events, one or multiple Event Instances and/or one or multiple Customers. This would be a maximum of 30 Offer applications in total from two Events.
       
    • Per Customer: The maximum number of times the discount can be applied or the maximum amount of discount an Offer can apply per individual Customer.

      For example, if you have an Offer with a 30 per Customer limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, a Customer has 30 eligible applications they can use across the Events. The 30 per Customer limit can be spread across one or multiple Events and/or one or multiple Event Instances. Each eligible Customer has a maximum of 30 Offer applications in total from two Events.
       
    • Per Customer Per Event: The maximum number of times the discount can be applied or the maximum amount of discount an Offer can apply per Customer for each eligible Event.

      For example, if you have an Offer with a 30 per Customer per Event limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, a Customer has 30 eligible applications for each event. The 30 per Customer per Event limit can be spread across one or multiple Event Instances. Each eligible Customer has a maximum of 60 Offer applications in total from two Events.
       
    • Per Customer Per Event Instance: The maximum number of times the discount can be applied or the maximum amount of discount an Offer can apply per Customer for each eligible Event Instance.

      For example, if you have an Offer with a 30 per Customer per Event Instance limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, a Customer has 30 eligible applications for each instance. Each eligible Customer has a maximum of 180 Offer applications in total from six Event Instances.
       
    • Per Membership Period: The maximum number of times the discount can be applied or the maximum amount of discount an Offer can apply per Customer across all Events during their Membership period.

      For example, if you have an Offer with a 30 per Membership Period limit that is eligible for "Aladdin" and "The Jungle Book," each of which has three Instances, a Customer has 30 eligible applications across the two Events. However, the Customer renews their Membership before one of the Events and so is allotted another 30 Offer applications. The 30 per Membership Period limit can be spread across one or multiple Events and/or one or multiple Event Instances. Each eligible Customer has a maximum of 30 Offer applications in total for their Membership Period.
       

TIP: These limits will apply across allOffers in that Offer Limit Group.

 

Adding an Offer Limit Group to an Offer

The Limits section of each Offer lets you to set the limits for the specific Offer. There is also the option to select an Offer Limit Group, which will also apply to the limits set in the group:

To choose an Offer Limit Group, select its name in the left column then click the > right arrow button to add it into the right column:

Here is an example of using Offer Limit Groups with two Offers. Each Offer has a per Event limit of four items; if only one of the Offers is applied to a Basket, it will only apply a discount to four items and any further items in the basket will remain at full price. However, if there are six tickets that are eligible for both Offers in a Basket, each of these Offers could apply a discount to four tickets and the Customer would get six discounted tickets for a single Event, despite each Offer having a limit of four.

If you wanted to limit the total number of discounted tickets in any basket to four, you could do so by adding these two Offers into an Offer Limit Group. You would then set the limit across the Group as four items, meaning that in a single Basket each customer could only get four discounted tickets per Event.

  • Imagine you have two Multibuy Offers for Customers which apply to a certain Event but you also want to limit the overall Basket discount to £25.

    The two Offers are:

    50% off 2 Tickets for Members: entitles Members to a discount on 2 tickets for an Event, if Tickets are £25 each, this gives a discount of £25 (2 x £12.50) across the Basket.    20% off 4 Adult Tickets: entitles Customers to a discount on 4 Tickets for an Event, if Tickets are £25 each, this gives a discount of £20.00 (4 x £5.00) across the Basket.

    If we don't use an Offer Limit Group and the Customer books six Tickets, then the system will discount all the Tickets giving a total discount of £45, as shown below:

    If we put both offers into an Offer Limit Group, with a maximum discount of £25, then the system will apply the Offer or Offers that give the best discount across the whole Basket, while not exceeding the total set by the Offer Limit Group.

    So in this case the Members offer has been applied to two Tickets, giving a £25 discount but the other Tickets are not discounted as the Basket discount has reached the Offer Limit Group maximum of £25.

    When an Offer Limit is applied, you can limit the number of discounted Tickets in a single transaction.

 

Deleting Offer Limit Groups

To delete an Offer Limit Group, follow these steps:

REMINDER: To access the Admin Interface, you’ll need the General Administrator Role. If you don’t have this Role, ask the Settings Administrator in your organisation to add this Role to your User Account.

To delete an Offer Limit Group click the Delete button next to the relevant Offer Limit Group:

If there are any Offers which are currently set within that Offer Limit Group, a warning popup will appear, asking you to confirm if you still want to delete it:

If you choose to delete the Offer Limit Group, these Offers will no longer be limited as a group, but their individual per-Offer limits will remain unaffected.
