Once Gift Vouchers have been set up in Spektrix, you’ll be able to sell them using the Sales Interface and online through your website.
Each Gift Voucher sold contains a unique code that once redeemed, is added to a Customer’s Record as Account Credit. Customers can spend Account Credit however they wish, including across multiple transactions.
Gift Vouchers can be printed as a physical voucher (box office only) or sent by email (box office and online) to either the purchaser or recipient. Customers can choose to send the Gift Voucher email on a specific date, such as a birthday. You can set expiry dates on Gift Vouchers to ensure they are used within a set number of months from the date sent.
TIP: The Customer Record in your Spektrix system is referred to online as a Customer Account.

Selling Gift Vouchers through the Sales Interface
You can sell a Gift Voucher in Spektrix through the Sales Interface without a Customer in the Basket/Cart, but you will only have the option to print the voucher. To send it by email, you’ll first need to add a Customer to the Basket/Cart.
To sell a Gift Voucher, follow these steps:
- In the Sales Interface, click Customers:
- Search for the Customer you want to add to the Basket/Cart. You can search using any of the following fields:
- Name: Type the Customer’s surname followed by a comma and their first name or initial.
- Customer Id: If you know the Customer Id, type this in the Customer Id field
- Postcode/Zip code: Enter the Customer’s Post Code/Zip Code in full
- Email: Enter the Customer’s email address in full
- Click Search.
- Click on the blue Basket/Cart button to add your Customer to the Basket/Cart:
- In the New Transaction pop up, choose Phone, Counter or Counter Quick depending on the method of purchase:
- Click Other > Gift Vouchers and you’ll see the following screen:
TIP: The Gift dropdown allows you to choose either a Gift Voucher or a Gift Membership (read Gift Memberships for further information).
Complete the following fields for each Gift Voucher:
- Value (mandatory): This can be any amount up to the maximum value set when Gift Vouchers were activated on your system.
- Send to: Choose the delivery method for the Gift Voucher.

Date to send (mandatory): This defaults to the purchase date, but you can choose another date up to the Default limit on future Gift Voucher delivery. The Voucher’s expiry date will be relative to the chosen send date.
TIP: Gift Vouchers sent at a future date are sent at 4am in your local timezone.
- To and From (mandatory): Enter the names of the sender and the recipient. These names will be displayed on the Gift Voucher (if added to the Gift Voucher Design) and the Gift Voucher Email Template.
- Message (optional): A message which will appear in the Gift Voucher email, or on the physical Gift Voucher, if included in the design.
- Click Add to Basket/Cart:
- You’ll see an additional screen, Gift Vouchers in the Basket. Here you can amend the Value, Send to, Date to send, To and From. Once you’ve made any changes, click Update:
- Add any other items to the Basket/Cart if required.
- Click on Payments and select the Customer’s method of payment:
- Click Confirm:
- In the Information pop up that appears, choose whether to send a confirmation email for the transaction:
TIP: Gift Vouchers delivered by email will be sent as soon as the Order is confirmed, unless the Date to send is changed to a future date.
Selling Gift Vouchers Online
Gift Vouchers sold online can only be sent by email.
Here’s an example of what a Customer might see when purchasing a Gift Voucher through your website:

Customers complete the following fields when purchasing each Gift Voucher:
- Value (required): This can be any amount up to the maximum value set when Gift Vouchers were activated on your system
- Date to send: This will default to the current date, but Customers can choose a future date, up to the Default limit on future Gift Voucher delivery
- To (required): The name of the recipient
- Send to: Choose the delivery method for the Gift Voucher.
- From (required): The name of the sender
- Message (optional): A message which will appear in the Gift Voucher email
TIP: Gift Vouchers sent at a future date are sent at 4am in your local timezone.
Once a Customer clicks Add to Basket, this will add the Gift Voucher to their Basket/Cart, where they can pay for their order. Alternatively, they can add other items to their Basket/Cart or continue browsing.
