Searching for Orders

In this article, we’ll show you how to search for Orders in the Sales Interface. You’ll find information about the different methods you can use to search as well as links to other resources.

 

Navigating to the Sales Interface

When you log into Spektrix you’ll normally be in the Sales Interface. If you find yourself in another part of the system, you can access the Sales Interface by clicking on the Control Panel in the bottom left corner of your screen:

Then select Sales:

Where to find Orders in the Sales Interface

To search for Orders in the Sales Interface, click Orders:

How to search by Order Number

Searching by Order Number is the quickest way of finding the Order. To search by Order number, enter the Order Number and click Search:

If a matching Order is found, you’ll see it displayed under the Order Search:

How to Search using part of an Order Number

You can search using the first part of an Order Number by following these steps:

  1. Enter part of the Order Number, for example 24 or 24-AF and click Search:

  2. If a matching Order is found, you’ll see it displayed under the Order Search:

If the Customer doesn’t have the Order Number, you can perform a Basic Search or an Advanced Search.

 

How to perform a Basic Search

You can perform a Basic Search to look for any Orders. A Basic Search consists of criteria related to the Customer.

To perform a Basic Search, you can use any or all of the following criteria:

  • Order Date From & Order Date To: Enter a From and To date to search for Orders within this date range. This will return all confirmed Orders for all Customers within these dates. You can leave either text fields blank for an open-ended date range.
  • Customer Id: Enter the full Customer Id to return the Orders for a specific Customer. You can enter a partial Id to return all Orders whose Customers have IDs that contain those characters.
  • Customer Name: Enter the Customer Name in the format last name, first name or initial. Partial names can be used and first names can be omitted. This will return all Orders confirmed whose Customers’ name match.
  • Customer Email: Enter the Customer’s full email address. This will return all Orders confirmed whose Customer’s email address matches.
  • Postcode/Zip code/Postal Code: Enter the Customer’s full Postcode/Zip code/Postal Code. This will return all Orders confirmed whose Customers’ Postcode/Zip code/Postal Code matches.

You can also search order Orders using multiple criteria. This will narrow the search results. For example you can search by Customer Name and Postcode.

Once you’ve entered your search criteria, click Search:

If any matching Orders are found, you’ll see it displayed under the Order Search:

If no matching Order is found, try using different criteria or an Advanced Search.

 

How to perform an Advanced Search

You can perform an Advanced Search to look for any Orders. An Advanced search consists of criteria relating to the contents of the Order and additional Customer information.

To perform an Advanced Search you can use the following criteria. It is suggested to use multiple criteria to narrow the search results:

  • Customer Address: Enter the first line of the Customer’s address.
  • Customer Town: Enter the Customer’s Town or City.
  • Customer Phone: Enter the phone number set in their Customer Record.
  • Customer Birth Date: Enter the Customer’s date of birth.
  • Event Name: Enter the name or partial name of the Event.
  • Event Date From and Event Date To: Enter the date range of the Instances you want to search.
  • Seat Name: Enter the Row and Seat Number.
  • Order Attributes: Enter any Order Attributes. An Order Attribute is additional information set against an Order. The Order Attributes should be written exactly as they are in the system. For example, if a Customer selects “I have a Service Dog” as an accessibility need in their Order, you must enter the attribute as such; typing “service dog” in the text field will not return the Order.

To perform an Advanced Search, click Advanced Search:

You'll then see the following screen. You can enter your Advanced Search criteria in the highlighted area:

Once you’ve entered your search criteria, click Search:

If a matching Order is found, you’ll see it displayed under the Order Search:

How to find Orders in the Events menu

You can search for any Orders through the Event menu, by looking at the sales against that Instance. If you know the Event Instance the Order was placed against, follow these steps:

  1. Click Events:

  2. Find the Event the Order was made against and select it:

  3. Select the Instance the Order was made against:

  4. Click Actions > View Sales:

  5. You’ll see the Orders for that Instance:
