Cancelling Payments and Refunds in the Basket/Cart

In this article we’ll guide you through cancelling a payment, how to set a payment type to be cancellable and other important information to take into consideration. You’ll also find links to other helpful resources.

Before you read this article you should be familiar with:

 

Why Cancel a Payment or Refund?

You might need to cancel a payment if you have processed a payment or refund with the incorrect payment or refund type. Similarly, if you have added a payment or refund to the Basket/Cart in error.

 

Considerations when cancelling a Payment or Refund

When cancelling a Payment or Refund from the Basket/Cart, the following will apply:

  • Card Payments cannot be cancelled. See below for further information
  • Cash Payments or Refunds can be cancelled in the Basket/Cart
  • Custom Payment Types can be set to be cancellable or not cancellable
  • Account Credit or Gift Voucher payments can be cancelled in the Basket/Cart
  • Refunds to Account Credit cannot be cancelled

WARNING: Card Payments can't be cancelled, as the payment is taken immediately at the point of authorisation. You’ll need to issue a Card refund to the Customer in the same transaction,

 

Setting a Custom Payment or Refund Type to be Cancellable

TIP: To set a Custom payment type to be cancellable or not cancellable, you’ll need the Settings Administrator or General Administrator Role on your User Account before you can change these settings. If you don’t have this, ask the Administrator in your organisation.

To set a Payment or Refund Type to be cancellable, follow these steps:

  1. Click Control Panel (in the bottom left corner of your Spektrix system):

     

  2. Click Admin:

     

  3. Click Other > Custom Payments:

     

  4. Look for the Custom Payment or Refund and click the blue pencil to edit it:

     

  5. You’ll see an Edit Custom Payment screen. Click Edit:

     

  6. Check the box named Can be cancelled? and then click Save:

     

TIP: If you want to change a payment type so it can’t be cancelled, repeat the steps above and make sure the Can be cancelled? box is unchecked.

 

Cancelling a Payment or Refund in the Basket/Cart

REMINDER: Card Payments can't be cancelled, as the payment is taken immediately at the point of authorisation. Instead, you’ll need to issue a Card refund to the Customer. Read Troubleshooting the Basket for more information.

Once you’ve added a payment or refund to the Basket/Cart, you can cancel it by clicking the red x next to the payment or refund:

 

 

The payment or refund will be removed from the Basket/Cart and the total will be updated:
