Standard Reports allow you to report on a wide variety of information about tickets, customers, events, sales, fundraising activity and much more.

In this article we’ve collated and described the Standard Reports so that you can quickly and easily locate the best report for your needs.

Before you read this article make sure you’re familiar with:

 

How to Use this Article

Tip: If you don’t know the name of the report or which category it might fall under, use Ctrl + F (or Command/⌘ + F on a Mac) to search for keywords. Each Report has a table of items reported on that highlight the data you’ll get from the Report.

With so many Standard Reports available in Spektrix, it can sometimes be difficult to know which report you need to get the information you want. We’ve made it easier to find the right report for your needs by arranging them into categories. Each category contains fewer than 10 Reports, listed alphabetically and all relating to similar business needs.

The categories are:

  • Event Sales & Reservations: Reports showing seat occupancy and Event sales.
  • Ticket Sales Analysis: Analysis of ticket sales and booking behaviour.
  • Customer Behaviour & Demographics: Analysis of customer behaviour and demographics.
  • Accounting & Payments: Reports on transactions for accounting purposes.
  • Memberships: Memberships and membership activity.
  • Campaigns, Opportunities, Pledges & Activities: Fundraising opportunities and activities.
  • Donations: Reporting and analysis of donation.

Information you’ll find on each Report

For each report, you will find the following information:

  • Description: A brief description of the Report.
  • Useful For: A suggestion of when/how you might use the Report.
  • Report Type: You can find out more in our article on Report Types.
  • Items reported on: The element the report is measuring in the database, this might be tickets, seats, individuals etc.
  • Standard Criteria Set(s): The Criteria Set(s) that are set as standard. Criteria sets define how the dataset is filtered. You can create your own criteria set for all Standard Reports, for more information on this see our article about Criteria Sets.
  • Teams: The team(s) who are most likely to find the report useful. 
  • Outputs: A table detailing what information is available in this Report.
  • Images: Image(s) showing a typical export of the Report.

 

Event Sales & Reservations

All Active Reservations

Description: All Reservations ordered by timeout date/time. Expired/due-to-expire orders highlighted.

Useful For: Checking reservations for Instances.

Event Instances Occupancy Report

Description: Seat occupancy report for the specified Event Instances.

Useful For: Checking the status and booking details of each seat for an Instance.

Event Sales Report (Detailed)

Description: Sales report for all Event Instances.

Useful For: Viewing detailed ticket sales breakdowns for an Event and its Instances.

Description: Sales by Event broken down by Instance.

Useful For: A high-level summary of sales for an Event by Instance.

Event Sales Report (Summary)

Description: Sales summary by Event.

Useful For: A high-level summary of sales for multiple Events.

Event Sales Report (Movement by Event)

Description: Sales movement by Event. Includes sales made in the past day, 7 days and 30 days, as well as total sales, broken down by Event.

Useful For: Comparing sales movement across past and future Events.

Report Type: Accounting

Description: Sales movement by Event and broken down by Instance. Includes sales made in the past day, 7 days and 30 days, as well as total sales, broken down by Instance.

Sales History for an Event Instance

Description: All the sales, returns, andreservations for an Event Instance.

Useful For: A comprehensive list of orders for each Instance selected.

Sales Conflict Report

Description: The Sales Conflict Report can be run from the Event Details page in the Sales Interface and will return information about seats that have been masked if you modify a Seating Plan and mask seats on an Instance where tickets have already been sold. This Report will only run when there is a conflict.

Useful For: Identifying masked seats that have already been sold. This is useful if you need to contact customers who might need new seats.

The Special Report

Description: The Special Report can be run from the Insights and Mailings Interface > Reports > Special Reports and reports on the sale and redemption of Credit, Deposits and Gift Vouchers.

Useful For: Viewing the status of Credit, Deposits and Gift Vouchers.

Report Type: N/A

Items Reported On: Credit, Deposits and Gift Vouchers.

Outputs: You can choose to select to output the data by month or by year. For the time period selected on each of the balances for Credit, Deposits and Gift Vouchers.

Ticket Sales Analysis

Average Price Tracker

Description: Grouped by Event, but for more than 10 Events will group the totals for the whole dataset.

Useful For: A visual snapshot, in graph form, of how the average price for a particular show or group of shows changes over time.

Description: Report on value and number of orders by hour and day of week. Includes a  breakdown of sales by channel and time.

Useful For: Knowing when your box office or website is busy.

Description: Provides details of transactions with an altered Accounting Date. This report is only available when Accounting Date is turned on.

Useful For: Getting high-level summaries and information about transactions with altered Accounting Dates.

Description: Report for a particular period showing all payments received and how these broke down into activities. This report breaks down all your Payment types (including card types, Gift Vouchers and Custom Payments) and also shows the gross totals for Commissions, Events, Merchandise sales, Donations and Memberships.

Useful For: A summary of payment activities.

Useful For: A summary of payment activities including tax and payment breakdown.

Description: Activities grouped by due date (month) and complete/incomplete status. Includes information on Opportunities, Campaigns, Campaign stages and Opportunity values.

Useful For: Keeping track of Activities’ status and due dates.
