Reporting for Ticket Subscriptions

In this article we’ll cover the Standard Reports available to report on Ticket Subscriptions.

These Reports can be used to:

  • analyze sales
  • see how many vouchers have been redeemed
  • review who has purchased Ticket Subscriptions and see how many vouchers they have available
  • compare how many tickets for an Event have been purchased through Ticket Voucher redemptions
  • report how many Ticket Vouchers have been issued or spent at a given time

Ticket Subscriptions Analysis

The Ticket Subscriptions Analysis Report is a Ticket Voucher Report that analyzes total Ticket Subscription purchases and Ticket Voucher redemption details with analysis by Pricing Set or by Month/Year Purchased.

 

Running the Report

The Ticket Subscriptions Analysis Report is a Standard Report that comes with the following Criteria Sets:

  • All Unexpired Vouchers: Filter to any purchases that have unexpired vouchers
  • By Ticket Subscription: Filter to any purchases by Ticket Subscription name
  • By Date Purchased: Filter to any purchases made within a given time period
  • All Unredeemed Vouchers: Filter to any purchases that have unredeemed vouchers with the option to also filter by expiration date

 

Reading and Understanding the Report

The Report will output in two parts, each containing the same data displayed differently:

  • By Ticket Subscription & Pricing Set

    Viewing the Ticket Subscription Analysis Report By Ticket Subscription & Pricing Set will group and sum all Ticket Subscription purchases first by name and then name of Pricing Set. The Report will show total number of subscriptions, total value, and total vouchers used and available across all Ticket Subscription purchases.

  • By Ticket Subscription & Month/Year Purchased

The report will show total number of subscriptions, total value, and total vouchers used and available across all Ticket Subscription purchases.

 

Ticket Subscriptions by Customer

The Ticket Subscriptions by Customer Report is a Ticket Vouchers Report that analyzes total Ticket Subscription purchases and Ticket Voucher redemption details by Customer.

 

Running the Report

The Ticket Subscriptions by Customer Report is a Standard Report that comes with the following Criteria Sets:

  • All Unexpired Vouchers: Filter to any purchases that have unexpired vouchers
  • By Ticket Subscription: Filter to any purchases by Ticket Subscription name
  • By Date Purchased: Filter to any purchases made within a given time period

The Report will show total number of subscriptions, total value, and total vouchers used and available across all Ticket Subscription purchases.

    Viewing the Ticket Subscription by Customer Report By Ticket Subscription & Customer will group and sum all Ticket Subscription purchases first by name of the Customer & then name of the Ticket Subscription. The report will show total number of subscriptions, total value, and total vouchers used and available across all Ticket Subscription purchases.

 

Ticket Sales Analysis

The Ticket Sales Analysis Report is an Analysis Report that breaks down ticket sales by sales channel, sales operator, Ticket Type, Price Band and Event. This Report also includes quick sales analysis (items sold without a customer name). This is best for reporting on Ticket Vouchers redeemed on an Event by Event basis.

 

Running the Report

The Ticket Sales Analysis Report is a Standard Report that comes with several Criteria Sets. For the purpose of analyzing Ticket Voucher redemptions by Event, you will need to run the report By Event and select only one Event. You can also analyze Ticket Voucher redemptions by Event Instance by running the report with the By Event Instance Criteria Set.

 

Reading and Understanding the Report

The Report will output several sections but we will focus on the areas related to Ticket Subscriptions: Breakdown by Ticket Subscription and Pricing Set.

The Breakdown By Ticket Subscription and Pricing Set will show the total value and number of tickets sold for an Event by redeeming Ticket Vouchers. The breakdown will also look at the Ticket Subscriptions and Pricing Sets from which the Ticket Vouchers have been redeemed.

 

Payments and Activities Report

The Payments and Activities Report is an Accounting Report that shows all payments received over a given period. The Report is broken down by Activities and summarized for the specified time period.

By using the Payments & Activities Report, you can take a look at how much value in Ticket Vouchers have been redeemed/spent, returned, issued, or reissued during that given time period.

REMINDER: The Payments and Activities Report is best used for financial reporting. For summaries on Ticket Subscription purchases we recommend the Ticket Subscription Analysis Report or the Ticket Subscriptions by Customer Report.

 

Running the Report

The Payments and Activities Report is a Standard Report that comes with one Criteria Set: by Date.

 

Reading and Understanding the Report

This Report outputs lots of different information but for the purposes of this article we will focus on the sections relevant to Ticket Subscriptions. The sections relevant to Ticket Subscriptions include: Payments by Type, Ticket Subscription Summary, and Event Activities.

TIP: Ticket Vouchers are liabilities in the Spektrix system and are reported as Payments and Credits in the Payment and Activities Report. For more information, read the Support Centre article FAQ: How does Spektrix deal with credit?.

Payments By Type

Payments by Type looks at Ticket Vouchers as Payments and Credits. There are four payment and credit actions related to Ticket Vouchers: Ticket Voucher Spend, Ticket Voucher Return, Ticket Voucher Issue, and Ticket Voucher Reissue.

 

Payments

A Ticket Voucher Spend is when a customer redeems a Ticket Voucher and purchases a Ticket. A positive value will show as part of the payment received from the initial purchase of the Ticket Subscription. This Voucher redemption will now be recorded against the Event where the Ticket Voucher has been redeemed.

A Ticket Voucher Return is when a customer returns Ticket Vouchers or a full Ticket Subscription, for a refund of any payment type, an exchange for another item, donation, etc.

A Ticket Voucher Return will also show a positive value as the Ticket Voucher will no longer be considered a liability as the initial payment received will be returned or exchanged. Because it shows a positive value, it will be listed along with Ticket Voucher Spend as a Payment even if there is no transaction with a charged item (tickets, merchandise, etc.).

 

Credits

A Ticket Voucher Issue is when a customer purchases a Ticket Subscription and are issued Ticket Vouchers, which can be redeemed for Tickets.

A Ticket Voucher Reissue is when a customer returns a Ticket purchased with a Ticket Voucher and is reissued a Ticket Voucher.

Ticket Voucher Issue or Reissue are reported as Credits in the Payment and Activities Report. They are considered payment received but not yet spent, which means they will not record as revenue until they are redeemed for an Event. Ticket Voucher Issues or Reissues show a negative value.

 

Ticket Subscription Summary

The Ticket Subscription Summary breaks down these actions further by Ticket Subscription name and Account Code. These actions are grouped by Payments (spend or return) and Credits (issue or reissue).

If a customer purchases a Ticket Subscription and redeems a Ticket Voucher within the same transaction, then the value of the Ticket Voucher will not be listed in either Payments or Credits. The payment for the Ticket Subscription will be listed as the payment for the Ticket Sale.

For example, if a customer pays $100 in cash for a Ticket Subscription and redeems all Ticket Vouchers available, the Ticket Voucher Issue and Spend will be reported as $0 but Cash Payment and Tickets will be listed as $100. You would then be able to see the Ticket Voucher redemption listed in the Events Activities.

 

Events Activities

Whenever a Ticket Voucher is redeemed, the redemption will be reported in the Ticket Vouchers column under Events in the Activities Breakdown when running a Payment and Activities Report (detailed). These transactions will appear when a Ticket Voucher is redeemed during the same transaction as when a Ticket Subscription is purchased or when they are redeemed at a later date.
