Moving to Spektrix Payments

In this article, we’ll guide you through some considerations to make before deciding to move to Spektrix Payments.

Spektrix Payments is an all-in-one solution designed to completely replace your existing payment solution.

Spektrix Payments is available for organisations who take in-person Chip & Pin/Chip and online Card payments through Spektrix.

Spektrix payments will not replace your payment solution used in other parts of your organisation. For example, payment solutions for your organisation’s bar, cafe or restaurant.

Before reading this article you should be familiar with:

TIP: To offer Apple Pay and Google Pay as a method of payment online, you’ll need to move to Spektrix Payments. It isn’t available as an additional extra to your current payment solution.

 

Considerations to make when moving to Spektrix Payments

Because Spektrix Payments is an all-in-one payment solution, this means that you won't require a separate Merchant Bank, Payment Service Provider and Payment Gateway to be able to process payments through Spektrix.

Any contract queries should be discussed with your Merchant Bank, Payment Gateway and Payment Service Provider. Users in the UK and Ireland who use Opayo should get in touch with our Support team.

REMINDER: If you process card payments in other areas of your organisation that don’t use Spektrix, for example, a cafe or restaurant, you should make sure that your existing agreements continue.

If you’re thinking of switching to Spektrix Payments, there are several considerations you’ll need to take into account. We’ve listed these below.

 

Merchant Bank

Every organisation that takes card payments through Spektrix will have an agreement with a Merchant Bank (also known as an Acquiring Bank). A Merchant Bank is responsible for facilitating card processing and the transfer of funds to your Business Bank Account.

Spektrix Payments provides a Merchant Bank as part of its solution. If you process card payments only through Spektrix, you’ll no longer need a separate Merchant Bank.

If you process card payments in other areas of your organisation that don’t use Spektrix,  you should contact your Merchant Bank to discuss your agreement.

You can still use your existing Merchant Bank until you’ve completely moved over to Spektrix Payments.

 

Payment Gateway

Every organisation that takes card payments through Spektrix will use a Payment Gateway.

A Payment Gateway is the technology responsible for authenticating and transmitting payment data securely between the parties involved in the payment process. 

Spektrix Payments provides a Payment Gateway as part of its solution. If you process card payments only through Spektrix, you’ll no longer need a separate Payment Gateway.

If you process card payments in other areas of your organisation that don’t use Spektrix, you should contact your Payment Gateway provider to discuss your agreement.

You can still use your existing Payment Gateway until you’ve completely moved over to Spektrix Payments.

 

Payment Service Provider

Every organisation that takes card payments through Spektrix will have an agreement with a Payment Service Provider. A Payment Service Provider enables you to process card payments. A Payment Service Provider also provides features such as fraud protection, 3D secure and Address Checking.

Spektrix Payments is a Payment Service Provider as part of its solution. If you process card payments only through Spektrix, you’ll no longer need a separate Payment Service Provider.

If you process card payments in other areas of your organisation that don’t use Spektrix, you should contact your Payment Service Provider to discuss your agreement.

You can still use your existing Payment Service Provider until you’ve completely moved over to Spektrix Payments.

 

Website

Users of Spektrix Payments will be able to offer Apple Pay and Google Pay to Customers making an online purchase.

TIP: To use Apple Pay, a Customer must use an Apple device and the Safari browser when buying online. The device and browser must be updated to the latest version.

 

Express Checkout

If you already use Express Checkout, your web developer will need to make some changes to your website. You can find the full details by going to our Integrate Portal.

TIP: Apple Pay and Google Pay are only available with Express Checkout. To learn more, read our article on Express Checkout.

 

Stored Card Migration

When moving to Spektrix Payments, you can request to migrate stored cards if you have a large number of Auto Renewable Memberships. You’ll need to contact your existing Payment Service Provider who may charge a fee for this service. Contact Support to discuss this further.

When migrating stored cards, you’ll need to consider the following:

  • We recommend keeping your old Payment Gateway for a period of time once you’ve moved over to Spektrix Payments. This will ensure any payments and refunds are processed while you migrate your stored cards.
  • You can use existing stored cards as long as your old Payment Gateway is configured in Spektrix. The process to migrate your stored cards will take several weeks depending on your Payment Service Provider.
  • If you want to migrate your stored cards, we’d recommend you request this as soon as you’ve made the decision to move to Spektrix Payments. It’s likely it will take longer to migrate the stored cards than it will take to go live with Spektrix Payments.

TIP: To find out how many stored cards are in your system, contact Support.

Stored Card Deletion

If you want to delete the stored cards in Spektrix, you’ll need to take the following into consideration:

  • We recommend keeping your old Payment Gateway for a period of time once you’ve moved over to Spektrix Payments. This will ensure any payments and refunds are processed while you migrate your stored cards.
  • Spektrix can delete your stored cards once you have gone live with Spektrix Payments.
  • Once your stored cards have been deleted, when processing a Card payment, you’ll see a prompt asking if you want to save the card details for future use.
  • If you have set up any Auto Renewal Memberships, you’ll need to contact your Customers to take their card details again. You can then save the card details to use for future payments.

Any cards stored prior to going live with Spektrix Payments will still be available and can be used as long as your previous Payment Gateway is configured in Spektrix. You’ll continue to receive payments to your old Payment gateway for any payments using these stored cards. You’ll also receive payments made through Spektrix Payments for cards stored after going live with Spektrix Payments. 

We wouldn’t recommend this approach as you’ll have to maintain two payment gateways and providers which can make payment troubleshooting and reconciliation difficult. You can delay the deletion of stored cards for a short period of time after moving to Spektrix payments. Contact Support if you want to discuss this further.

Hardware

Users of Spektrix Payments, will receive new Payment Terminals free of charge. The setup process may differ from your current payment solution.

As Spektrix Payments is cloud-based, there is no software required to operate your Payment Terminal. You can start using it as soon as you’ve connected it to your Wi-Fi network.

Once you’ve moved over to Spektrix Payments, you may need to uninstall any software used with your previous payment device.

 

Managing Payments

Users of Spektrix Payments will be given access to their own Adyen Essentials Dashboard that enables you to manage and investigate any payments.

By accessing the Essentials Dashboard, you’ll be able to view and manage your own payments, instead of having to contact your Payment Service Provider, Payment Gateway or Merchant Bank.

 

Payouts to your Business Bank Account

Payouts to your bank account are processed on a Net basis. The total that is paid into your bank will consist of your total sales minus any deductions (including Spektrix, Card Scheme fees, and Chargebacks).

 

Know Your Customer (KYC) and Anti Money Laundering (AML) checks

When moving to Spektrix Payments, you'll need to provide some documentation as part of Adyen's Know Your Customer (KYC) and Anti Money Laundering (AML) checks.
