How to Request Help with Reports

This article is about how to get help with Reports. We’ll take you through the steps you can take to help you find the information you need.

How to find the information you need

There are a number of ways you can find the Report, or information, you’re looking for.

  • Your Spektrix system comes with a wide variety of Standard Reports with PDF and formatted Excel templates. A Guide to Standard Reports contains every Standard Report in Spektrix, alongside a table which will tell you which data you’ll find in that Report. You can find the Report you need by doing a keyword search using Ctrl + F (or Command/⌘ + F on a Mac).

  • If you have a Report that you think is incorrect or is showing information that you didn’t expect, follow the steps in Troubleshooting Reports.

How to request help with a Report

To best be able to help with your request, we ask for some detailed information about what you need.

Before starting to complete the request form below, consider the following:

  • The more context you provide, the more likely it is we’ll be able to find the right solution for you. 
  • The more time we have to help, the better. If you can anticipate reporting needs, letting us know in advance means we can deliver a complete reporting solution.

 

What do you need to know?

Firstly, you’ll need to let us know what information you need.

Here are some prompts to help you describe this to us. The answers to these questions will help us determine the best solution. The best solution might take the form of an existing Report, a combination of multiple Reports, a new Custom Report or something else.

  • Why do you need this information and what impact this will have for you/ your organisation?
  • What will you use the information for? If you plan to use the information for financial reconciliation, for example, this can help us find the right solution for you.
  • How often do you intend to use it? 
  • Is your request time sensitive? Different reporting queries will require different amounts of time to resolve. Understanding why a request is time sensitive helps us prioritise. 
  • Are there specific data points you want to examine? For example, Price, Total Items, Number of Customers, etc.
  • Are there specific data points that should be excluded? For example, Comps, Ticket Types, or Seat Attributes.

TIP: Think about what you might use as a Criteria Set to filter your Report. Criteria Sets can filter Reports based on specific things such as time periods or Events / Instances.

 

What have you already tried?

It’s helpful to us to know what you’ve already tried when attempting to get the information you need. This can help us get to a resolution quicker. 

 

Have you seen something similar?

When you send a request for help with a Report, you’ll be asked to attach any files that will help us to better understand your request. 

This can include images or examples of Reports you have seen which are similar to what you need.
We ask that you clearly label columns and rows. And, if you’re working with a templated Report, show the type of visualisation (bar chart, table, etc).
