How to Create and Edit an Info Overlay

An Info Overlay enables you to add extra information to Seats on a Seating Plan.

An Info Overlay is optional for Instances using Reserved Seating Plan Areas. Info Overlays are not available for Unreserved Seating Plans.

Why Create an Info Overlay?

You can use Info Overlays to add extra information to seats on Reserved areas of your Seating Plan. Labels will appear as tooltips to display extra detail about particular seats. For example, restricted leg room, access information, or obstructed views.

In the Sales Interface, Opportunities Interface and online, any seat with information added to it by using an Info Overlay will appear as a circle with an italicized i icon:

When hovering over these seats, the tooltip containing the seat number and price will appear with the additional seat information.

Each seat can display different information, but unlike Locked Seats, each Seat will appear with the same icon. The information differs in the tooltip text only.

To display multiple information on a seat, you can create multiple labels. For example, three separate labels for “Splash zone,” “Obstructed view” and “Splash zone and obstructed view.”

If a Seat has both a Lock and information assigned, the Lock Type’s icon will appear instead of the italicized i icon. The tooltip will display the Lock Type and informational text.

In the example below, Seat B has an Artistic Lock and added information “Obstructed views.” In the Sales Interface, Opportunities and online (if made visible online), the Seat will appear with the Lock (the letter A):

Seat information text will also appear on Confirmation emails and can be output to Ticket Designs and Custom Reports.

 

Viewing Info Overlays

Info Overlays are specific to each Seating Plan. View all the Info Overlays for a Seating Plan in the Admin Interface > Seating > Seating Plans.

TIP: To access the Admin Interface, you’ll need the General Administrator Role. If you don’t have this Role, ask the Settings Administrator in your organization to add this Role to your User Account.

  1. From Seating Plans, click on the name of the Seating Plan:

    All Seating Plans.

     

  2. Click on the Info tab:

You’ll see a list of all Info Overlays sorted by Name, created for this Seating Plan on the green panel on the left side of the screen:

Creating a new Info Overlay

To create a new Info Overlay for your Seating Plan:

  1. Navigate to Info Overlays
  2. Click +New
  3. Give the Overlay a Name for internal use
  4. Click Ok
  5. Select your new Info Overlay

 

Adding Information

Follow the steps to add information to Seats in your Seating Plan.

 

Add Information in Multi-Area Seating Plans

While an Info Overlay covers all Reserved Areas, you must add the information to Seats in each Area separately.

  1. Select an Area by clicking the Overview Image or from the dropdown:

  2. Click Edit

     

  3. Follow the steps to add information to Reserved Seats

     

  4. Click Save for the Area

     

  5. Repeat these steps for each Reserved Area in the Seating Plan

 

Add Information in Reserved Seating Plan Areas

To add information to Reserved Seats:

  1. Click Edit.

     

  2. Select a Layout Overlay from the dropdown above the Info Overlay list.

    An Info Overlay can be created specifically together with a Layout Overlay. For example, if Seats are removed for production and the Seats behind the section have obstructed views.

    However, if you’re using an Info Overlay across multiple Instances with different Layout Overlays, we recommend selecting an Overlay with the widest selection of Seats (no or minimal masked Seats).

    You’ll be able to switch between Layout Overlays after adding the information to the Seats to view how the Overlay appears on different Layouts.

  3. Click Add a label. The letter A will appear. In the text field, enter the informational text. Repeat for each informational text:

    REMINDER: Each Seat label can only contain one piece of information. Create different labels to display multiple information if needed. For example, three separate labels for “Splash zone,” “Obstructed view” and “Splash zone and obstructed view.”

     

  4. Add one label at a time. Select a Seat or multiple consecutive Seats. If you need to add the same label to multiple Seats that are not near each other, add the label separately for each section. You can use one of the following methods to select multiple Seats at once:

     

    • In a Single Row: For Seats in a single row, hold the Shift key on your keyboard and click the first and last Seat . Any Seats in between will also be selected.

       

    • Multiple straight rows: For Seats in multiple straight rows, choose the rectangle icon for Rectangle Mode:

      Click and drag your cursor to create a rectangle around all the Seats to select.

       

    • Multiple curved rows: For Seats in multiple curved rows, choose the paintbrush icon for Paint Mode:

      Click and drag your cursor to “paint” over the Seats to select.

       

  5. Once you’ve selected your Seats, click the label letter to add the label.

     

  6. The Seats will appear with the letter of the label:

    REMINDER: The label letters will only be visible in the Admin Interface > Seating > Seating Plans and in the Info tab. In the Sales Interface and online, all Seats with information added will appear with an italicized i icon except where the Seat also has a Lock and will appear with the Lock Type icon.

     

  7. Repeat until all information has been added to the required Seats.

     

  8. Click Save.

Clearing Information

Follow the steps to clear information assigned to Seats in your Seating Plan.

 

Clear Information in Multi-Area Seating Plans

While an Info Overlay covers all Reserved Areas, you must clear information in each Area separately.

  1. Select an Area by clicking the Overview Image or from the dropdown:

  2. Click Edit

     

  3. Follow the steps to clear information on Reserved Seats

     

  4. Click Save for the Area

     

  5. Repeat these steps for each Reserved Area in the Seating Plan

 

Clear Information in Reserved Seating Plan Areas

To clear information on Reserved Seats:

  1. Click Edit.

     

  2. Select a Layout Overlay from the dropdown above the Info Overlay list. We recommend you select a Layout Overlay with the widest selection of Seats, to ensure that you don’t miss any labelled Seats, which may be unintentionally masked.

    You’ll be able to switch between Layout Overlays after clearing the information to view how the Overlay appears on different Layouts.

  3. To clear all information on the Info Overlay, click Clear All.

     

  4. To clear information on one or more Seats, select a Seat or multiple consecutive Seats. If you need to clear multiple Seats that are not near each other, clear the information separately for each section. You can use one of the following methods to select multiple Seats at once:

     

    • In a Single Row: For Seats in a single row, hold the Shift key on your keyboard and click the first and last Seat . Any Seats in between will also be selected.

       

    • Multiple straight rows: For Seats in multiple straight rows, choose the rectangle icon for Rectangle Mode:

  5. Once you’ve selected your Seats, click Clear selected. The label letter will disappear.

     

  6. Repeat until all desired informational text has been cleared.

     

  7. Click Save.

Editing an existing Info Overlay

You can edit your existing Info Overlays from the Seating Plan or from a single Instance. Seat information will be added or cleared accordingly on all Seats including sold Seats.

If you edit from the Seating Plan, the changes will apply to all new Instances. You can choose to apply the changes to any or all live or draft Instances using the Overlay.

You can also edit the Info Overlay for a single Instance. Follow the steps in Editing Instances to update the Info Overlay.

To edit existing Info Overlays from the Seating Plan, follow these steps:

  1. Navigate to Info Overlays

     

  2. Click on the Info Overlay you’d like to update

     

  3. Follow the steps to add information or clear information on the Seats

     

  4. Click Save

     

  5. If you’ve edited an Info Overlay that is used in live or draft Instances, a pop-up will appear:

    Select:

    • None: Adds or clears information in the Overlay for future use but won’t affect any of the Instances currently using it. Those Instances will retain the properties of the original Overlay. The Overlay name will change to include a version number and the last edit date. You may also see the text (old version).

       

    • All future live Instances: Adds or clears information in the Overlay for all live Instances currently using it and for future use. This will not update draft Instances currently using it. Those draft Instances will retain the properties of the original Overlay. The Overlay name will change to include a version number and the last edit date. You may also see the text (old version).

       

    • All future live and draft Instances: Adds or clears information in the Overlay for all live and draft Instances currently using it, and for future use.

       

    • Those selected below: Choose which specific live Instances to add or clear information in the Overlay. All Instances left unselected will retain the properties of the original Overlay. The Overlay name will change to include a version number and the last edit date. You may also see the text (old version):

  6. Click OK

     

  7. If you are updating any live or draft Instances, an Update Instance Results Report will run. Download the Report to your computer and open the file to view any errors.

    The Report will list the Event Name, the Instance Start Date and Update Status. An example Update Status is “Updated successfully.”

    REMINDER: If a Seat has been sold before changes have been made, any new information will be added or cleared accordingly. This will be visible in Reports.

 

Copying a Info Overlay

To copy an Info Overlay:

  1. Navigate to Info Overlays
  2. Next to the Info Overlay’s name, click the down arrow:

    Choose to copy, delete or rename the Info Overlay.
  3. Select Copy

A copy named Name - Copy will be created. Click on the new Info Overlay to add information or clear information.

 

Deleting a Info Overlay

To delete an Info Overlay:

WARNING: Deleting an Info Overlay is permanent and cannot be undone.

  1. Navigate to Info Overlays
  2. Next to the Info Overlay’s name, click the down arrow:

    Choose to copy, delete or rename the Info Overlay.
  3. Select Delete
  4. From the pop-up, click Confirm

If any Instances use the Info Overlay, they will retain the properties of the original Overlay. The Overlay name will change to include (deleted):

Renaming a Info Overlay

To rename an Info Overlay:

  1. Navigate to Info Overlays
  2. Next to the Info Overlay’s name, click the down arrow:

    Choose to copy, delete or rename the Info Overlay.
  3. Select Rename
  4. Enter a new Name
  5. Click OK

Instances using the Info Overlay will use the new Info Overlay Name.

 

Viewing Information

Seat Information appears when choosing Seats in the Sales Interface, the Opportunities Interface and online.

Seat information will also appear:

  • On confirmation emails: Seat information will appear next to the Seat Number in a customer’s Order confirmation email:

    Confirmation email with a Ticket purchase of a Seat with information.

     

  • Output on Ticket Designs: When creating a Ticket Design, use the text field Seat Information to add informational text where present

     

  • Output in Custom Reports: Informational text can appear as an Output Column in Sales Reports using the Seat Info Text Metric in the Seats Wrapper
