The Membership Sale Email Template is a ready-made Dotdigital email template provided by Spektrix. The template can be used to send a personalised welcome email to customers who have recently purchased a Membership.

Before you start, you should be familiar with:

Why use the Membership Sale Email Template?

When a customer purchases a Membership, they’ll automatically receive a standard Order Confirmation email containing their purchase details. Styling options for Order Confirmations are limited and they cannot be amended with bespoke information about the Membership.

Instead, you can create a Membership Sale Email using the Dotdigital template and customise it to your organisation’s preferences.

The Membership Sale Email Template can be used to:

  • Create a branded Membership welcome email experience
  • Display the customer's Membership details including expiry date
  • Add auto-renew upsell asks depending on whether the Membership is already set to auto-renew or not
  • Include a Gift Aid ask to customers who have not yet completed a Gift Aid declaration (UK only)
  • Provide a Digital Customer Pass download to Apple Wallet and Google Wallets
  • Include any extra information you’d like to share about your organisation’s Memberships such as details of your benefits and how to use them

 

How does it work?

The Membership Sale Email is set up in Dotdigital using a ready-made template and is delivered through Spektrix using a Customer List Schedule.

The template is powered by Custom Building Blocks / App Blocks which use Liquid Script to pull information from Spektrix. When setting up the Membership Sale Email, in the Header block, you’ll need to define the number of days after a customer purchases a Membership that you want them to receive the email.

We recommend sending a daily email that looks for customers who purchased a Membership yesterday.

If you don’t want to use the template, you can build your own email design using the Membership Sales Header block which must be placed at the top of your email. Contact Support if you need help with creating your own Membership emails.

 

How to set up the Membership Sale email

Before starting, you’ll need:

WARNING: You must set up a Contact Data Field for Client Name for Digital Customer Pass buttons to work.

Complete the following steps to set up your Membership Sale email:

  1. Create a triggered email campaign
  2. Configure the Membership Email Template
  3. Add your organisation’s custom content and branding
  4. Test your email
  5. Set up and activate your Customer List Schedule
     

1. Create a Triggered Email Campaign

In Dotdigital, set up a triggered email campaign using the Membership Sale Email template:

  1. Go to Automation > Triggered Email > Add New
  2. Under Custom Templates, click on the Shared Templates folder
  3. Choose the Membership Sale Email template
  4. Give your email campaign a memorable and descriptive name
  5. Click Continue

In the Easyeditor, you’ll see the Membership Sale Email template:

 

2. Configure the Membership Email Template

There are four sections of the email that you’ll need to configure:

TIP: The configurable elements of the Membership Sale Email Template are Custom Building Blocks / App Blocks which use Liquid Script to pull information from Spektrix.

 

Membership Sales Header

To configure the Header, click the Member Sales Header block at the top of the email:

Set the Membership sold days ago value:

  • Enter 1 for Memberships sold yesterday

REMINDER: This value must match the number of days you use in the segmentation of your Customer List Schedule to find customers who purchased a Membership within the period and how often the email is sent.

 

Membership Card

Click the Membership Card block to open its settings:

Apply your organisation’s branding and preferred settings:

  • Logo image URL: To add an optional logo to the top of the Membership card, enter the URL of a PNG or JPEG image which is already hosted elsewhere online. This image will be displayed at a maximum of 170 x 80 px. The URL must start with https://
  • Card background: Enter a hex code to set the card’s background colour.
  • Divider colour: Enter a hex code to set a colour for the divider which appears below the optional logo.
  • Label colour: Enter a hex code to set the colour of labels such as Start date and Price.
  • Field text colour: Enter a hex code to set the colour of fields such as customer name, dates, price and auto-renew value.
  • Show card border: Set to true to add a border around the Membership Card block.
  • Border colour: Enter a hex code to set a colour for the border.
  • Date format: Delete the default date format from the box to choose a different date format.
  • Time format: Delete the default time format to choose between 12 hour (2:30 PM) or 24 hour (14:30) display.
  • Card content: Check the boxes against each of the pieces of information you want to include. This data is dynamically generated from the date in your Spektrix system.
    • Customer name: include the customer’s name on the card.
    • Start Date: display the start date of the Membership.
    • Expiry Date: display the expiry date of the Membership. If the Membership does not expire, the field shows Open Ended Membership.
    • Price: display the price of the Membership including donation portion. A price of zero is displayed as Free.
    • Auto-Renew: if the Membership is set to auto-renew this will display as Active in the Auto-Renew field on the card.
    • QR Code: display the Customer ID as a scannable QR code.
    • Wallet Buttons: if you have Customer Passes set up for Memberships, display the Apple and Google add to wallet buttons. To set up Customer Passes, follow the steps in Digital Customer Passes for Membership Purchases.
  • Style content: Click the Style Content button to update the style of the Block. The font size and colour of the text is set in the global style content for the email. Refer to the diagram to understand which style settings apply to different parts of the card.

TIP: If you do not wish to display the Apple and Google Wallet buttons within the Membership card, you can place them anywhere in the email below the Membership Sales Header using the Membership Wallet Buttons Custom Building Block. If you set the wallet buttons to display both on the card and below the card, the buttons will appear twice.

 

Configure the auto-renew messages

The template contains a Decision block that you can use to provide dynamic messages based on whether or not the customer’s Membership is set to auto renew or not:

 

Auto-renew is active

In the first part of the decision block, you can enter a message to display to customers who have set their Membership up to auto renew.

This section appears when a customer’s Membership is set to auto renew. The decision reads When membershipAutoRenews == true.

Replace the content in this section with your organisation’s preferred messaging for customers who have signed up to auto-renew. Use it to thank the customer and confirm that their Membership will renew automatically.

 

Auto-renew is not active

In the second part of the decision block, you can enter a message to display to customers whose Memberships are not set to auto renew.

This section appears when the customer’s Membership is not set to auto renew.

  • Replace the content in this section with your organisation’s preferred messaging for customers who have not signed up to auto renew. Use it to explain the benefits of auto renew and encourage the customer to activate it.
  • Replace the button link with a link to your organisation’s My Account Memberships page.
  • Follow the steps below to construct your My Account Memberships page URL.

    If you're using an iframe subomain, the first part of your iframe URL will be:

    https://tickets.yourwebaddress.com/yourclientname/website/secure/MyAccount.aspx?memberships

    • Replace tickets. with your subdomain
    • Replace yourwebaddress.com with your website address
    • Replace yourclientname with your client name

    If you are not using an iframe Subdomain, the first part of your iframe URL will be:

    https://system.spektrix.com/yourclientname/website/secure/MyAccount.aspx?memberships

 

Configure the Gift Aid message UK only

The UK version of the Membership Sale Email Template includes a Decision block that you can use to provide dynamic messages based on whether or not the customer has declared the Membership as Gift Aid eligible:

 

Gift Aid Declaration complete

In the first part of the decision block, you can enter a message to display to customers thanking them for making the donation portion of the Membership Gift Aid claimable.

This section only appears when a customer has completed their Gift Aid declaration. The decision reads membershipGiftAidClaimable == true.

Replace the content in this section with your organisation’s thank you message:

 

No Gift Aid declaration

In the second part of the decision block, you can enter a message to display to customers who have not completed a Gift Aid declaration explaining how your organisation benefits from Gift Aid and inviting the customer to complete a retrospective Gift Aid declaration.

This section only appears when a customer does not have a Gift Aid declaration.

Update the button with a link to your Retrospective Gift Aid iframe. If you haven't set up the retrospective Gift Aid iframe yet, you can remove the Gift Aid section or replace the call to action with a link to your own website until you're ready:

 

3. Add your organisation’s custom content and branding

Next, add any design elements or custom content to the email.

Do not edit or remove any of the custom blocks you have configured in the previous section. You may want to apply your organisation’s brand elements and styling such as header and a footer.

You can edit the text below the Member Sales Header and above the Membership Card blocks to add messaging specific to your organisation. You can also add further personalisation or create decision blocks using the Liquid Script objects listed below:

 

Personalisation

Use these fields as personalisation in the body of your email to pull data directly from Spektrix.

For example, if you want to give the customer their Customer ID as a reference you could add {{ customerId }} to present this in the email.

Decision blocks

You can use the following Liquid Script objects in Decision blocks to show or hide content.

Decision blocks let you show content variations based on criteria (“When”) and an Otherwise default. Add one by dragging the Decision block into your email, create a When statement with Event/Instance Liquid objects and operators (e.g., ==, !=), then set the content for each variation and Otherwise.

For example, if this is a customer’s first ever Membership, you can add a decision block which displays a bespoke message to customers joining your Membership scheme for the first time.

4.Test your email

Find customers with a Membership purchase that matches the time frame set in the Membership Header. You may need to adjust the time frame if there are no recent purchases.

To preview, click Preview from the navigation menu.

Then, from the Campaign preview page select the Personalisation icon:

You’ll then be able to search for and choose an existing contact to preview the email as.

Test your email in the following scenarios:

  1. A paid membership with auto-renew active.
  2. A paid membership without auto-renew.
  3. A free membership if you sell them.
  4. A membership with working Apple and Google Wallet pass data.

 

5.Set up your Customer List Schedule

To complete the set up of your Membership Sale Emails, you’ll need to set up a Customer List Schedule to deliver them.

To set up your Customer List Schedule:

  1. Create a new Customer List. Give the Customer List a clear name and add a description to let your colleagues know that this Customer List is used in a schedule to deliver Membership Sale Emails.
  2. In the Pre-filter, add a Global Segment which excludes any customers you do not wish to receive Membership Sale Emails. For example, you may want to include Contact Preferences or exclude customers with a certain Tag.
  3. In the Main Filter, create a new Local Segment. Use a purchasing segment then find the Memberships wrapper and use the Date Transaction Confirmed metric set to yesterday:

  4. Drag your Local Segment into the Customer List and update the count to check your Customer List logic.
  5. Save your Customer List.
  6. Schedule the Customer List to run the same number of days as you set in the Header and in the segment. Link it to your triggered email campaign in Dotdigital.
