How to edit a Price List

You can edit your Price List to update ticket prices either before or after you start selling tickets for your Event.

In this article, we’ll explain the steps required to update your Price List on single and multiple Instances.

Considerations for editing a Price List

If you’re editing a Price List that is currently used in multiple active or draft Instances, you can choose to update some, all of or none of the Instances it is currently associated with.

Before updating your Price List, consider:

  • If you need to add a new Ticket Type or Price Band to your Price List that doesn’t already exist in your system, you’ll need to create these first before updating your Price List.

  • If you add prices to a Price Band that isn’t present in your Price Band Overlay, then the ticket prices won’t be visible or available.

  • If you want to make a temporary adjustment to the Price List, such as offering a discount during a presale. Instead of manually editing your Price List, consider creating an Offer instead.

You can also choose to edit the Price List globally or on a single Instance.

  • Globally: If you edit a Price List globally, you can decide whether to update all of, or some of, the Instances where it is in use.
    Alternatively, you can decide not to update existing Instances. This option will only apply to newly created Instances in the future and where the updated Price List is added. If you decide not to update an existing Instance with the new version of the Price List, then the name of the Price List will display as Custom.

  • A single Instance: If you edit a Price List on an individual Instance, then this will only update the ticket prices for that specific Instance. The Price List for this Instance will be renamed Custom.

TIP: If you’d like to update multiple Instances with another existing Pricing List, instead of editing the current Price List, you can use the Bulk Instance Update Tool to swap the existing Price Lists.

For small changes, you might want to make edits to the existing Price List. For larger changes, you might want to create a new Price List and use the Bulk Update Tool to apply this.

 

How to edit a Price List globally

To edit a Price List globally, follow the steps below.

  1. Go to Admin > Pricing > Price Lists.
  2. Click on the name of the Price List you want to update.

     

     

  3. Click the Edit button

     

     

  4. Enter a price (including tax) into each of the fields that you’d like to include in your Price List.

    If you are adding a new Price Band to your Price List, you’ll also need to set a default Ticket Type for each Sales Channel.

    If you do not select a default Ticket Type, you will see the following error:

    REMINDER: Price Bands must be present in your Price Band Overlay to be visible or available on your Seating Plan. 

  • Once you have updated the prices, click Save. Click Cancel to discard any changes.

  • If your Price List is associated with an Instance, you will see a pop up screen with options:

  • None: This option will update the Price List for future use but won’t affect any of the Instances currently using it. Those Instances will retain the original values from the Price List, but their Price List name will change to “Custom”.

  • All future live Instances: This option will update the Price List for all live Instances currently using it and for future use. This will not update draft Instances currently using it. Those draft Instances will retain the original values from the Price List, but their Price List name will change to “Custom”.

  • All future live and draft Instances: This option will update the Price List for all live and draft Instances currently using it, and for future use.

  • Those selected below: This option will let you choose to update the Price List for only specific live Instances, which you can select, and for future use. All Instances left unselected will retain the original values from the Price List, but their Price List name will change to "Custom".

Once you have selected an option, click OK to save and update your Price List.  Click Cancel to discard any changes.

 

Change or Edit a Price List on a single Instance

To change or edit the Price List for a single Instance, follow the steps below.

  1. Go to the Admin Interface > Events > choose the Event 
  2. Click on the Instances tab
  3. Click the Instance you want to update

     

     

  4. Click the Price List tab and then click the Edit button.

     

     

  5. From the Price List dropdown, you can choose a different Price List for this Instance or choose Custom to edit the current Price List for this Instance only.

     

     

  6. You can then update the values in your Price List. 

    If you are adding a new Price Band to your Price List, you’ll also need to set a default Ticket Type for each Sales Channel. 

     

     

    REMINDER: Price Bands must be present in your Price Band Overlay to be visible or available on your Seating Plan. 

  7. When you’re done, click Save.  Click Cancel to discard any changes.

This custom Price List will only be applied to the individual Instance you have updated. The changes you have made will not affect future or existing uses of the Price List.
