Scanning and Validating Customers in the Scanning Interface

In the Scanning Interface, you can scan a Spektrix Customer Id to validate a customer’s name and any Customer Groups they belong to.

You can use this, for example, to verify a Membership by using a Members Customer Group to:

  1. Allow members access to exclusive areas, for example a member’s lounge.
  2. Offer discounts at your gift shop or cafe, even if the point-of-sale system (POS) is not integrated with Spektrix.

In this article, we'll guide you through how to set up the Scanning Interface to scan a Spektrix Customer Id.

Getting started

To scan a Customer Id in the Scanning Interface you’ll need:

  1. Customer Groups: Used to group customers together by a shared criteria. 

    If you want to validate Customers based on specific criteria, for example, Members or customers with access requirements, you will need to set up Customer Groups which represent this criteria. Any customer groups you set up will need to be marked as visible in the Scanning Interface.
     
  2. Spektrix Scanning User Role: To log into the Scanning Interface, you’ll need the Scanning User Role.
    If you don’t have this Role, ask the Settings Administrator in your organisation to add this role to your Spektrix User Account.
     
  3. The Scanning Interface URL: http://system.spektrix.com/XXX/client/scanning-app

    Replace XXX with your client name.
     
  4. Scannable Customer Id: A Digital Customer Pass, a custom QR code or barcode sent to a customer by email, or a custom ID card, for example, a membership card.
     
  5. Scanning Hardware: A ticket scanner or mobile device with a rear facing camera.

 

How does it work?

When a customer presents their Spetrix Customer Id for scanning and the QR Code / barcode is scanned, the Customer Id is validated in the Spektrix Scanning Interface. Once validated, you can see which Customer Groups the customer belongs to.

The Scanning Interface will only check that the Customer exists and validate whether they are in the Customer Group(s) you have selected. If the Customer is found but they are not part of the selected Customer Group, then you will receive a not part of the selected customer group warning.

If the Customer is not found on your system, you will receive a barcode not recognised warning.

You can only view Customer Groups in the Scanning Interface. You won’t be able to view detailed information, for example, Membership start or end dates.

To view a Customer’s Membership details, you’ll need to check their customer pass or Subscriptions section of their Customer Record in the Sales Interface.

 

Setting up the Scanning Interface to validate customers

To set customer validation options:

  1. Log into the Scanning Interface
  2. Select Customer Groups to verify

 

Logging into the Scanning Interface

To scan a Spektrix Customer Id, you’ll need to log into the Scanning Interface.

Enter the following URL in your web browser. Replace XXX with your client name:

http://system.spektrix.com/XXX/client/scanning-app

When you log into the Scanning Interface, you’ll see the following options:

  • Enabled event instances for ticket scanning
  • Allow bulk scanning
  • When presented with a valid Customer Id

Selecting Customer Groups to verify

Before you can scan a Spektrix Customer Id, you’ll need to select which Customer Group(s) to verify.

Follow these steps:

  1. Scroll down to When presented with a valid Customer Id

  2. Select Verify their Customer Groups:

  3. Under Customer Groups to Validate. Select the Customer Group(s) or select All:

  4. Tap the green check at the top of the Scanning Interface to save your settings:

Scanning and validating a Customer Id

Once you’ve saved the Scanning Interface settings, you can scan a Spektrix Customer Id to verify Customer Group(s).

To do this, you’ll need to scan a Customer Pass containing a Spektrix Customer Id. This might be a Digital Pass, a QR code sent to a customer by email, or a custom ID card, for example, a membership card.

In the Scanning Interface, a user can scan both Customer Passes and tickets. You’ll scan the QR code / barcode provided by the customer in the same way as you would scan a ticket.

Scanning Responses

When you scan a Spektrix Customer Id, the Scanning Interface will check if the customer exists and verify the selected Customer Groups.

 

Successful validation

When a customer is successfully validated, you’ll see a Success response in the Scanning Interface:

The following information will be displayed:

  • Validation response
  • Customer name
  • Any Customer Group(s) the customer belongs to

You can use this information in line with your own organisation’s policies.

 

Unsuccessful Customer Group validation

When a customer is successfully validated but does not belong to the Customer Groups you’ve selected, you’ll see the following:

For example, if you want to verify a customer is a member before admitting them to a members only space:

TIP: To access the Sales Interface, you’ll need the Sales User or Sales Administrator Role. To access the Admin Interface, you’ll need the General Administrator Role. If you don’t have these Roles, ask the Settings Administrator in your organisation to add these Roles to your User Account.

 

Barcode not recognised

If you see a Barcode not recognised response, check if the customer exists in your system by searching for their Customer Record in the Sales Interface.
