Setting Up and Editing Campaigns

In this article we’ll guide you through setting up and editing your Campaigns. You’ll also find links to other resources you may find helpful.

Setting up Campaigns

TIP: Setting up and editing Campaigns takes place in the Opportunities Interface. In order to navigate to and access the Opportunities Interface you’ll need the Opportunities User and Opportunities Administrator roles. If you don’t have these roles, contact a Settings Administrator in your organization to edit your User Account and add these roles.

To begin setting up Campaigns, navigate to the Opportunities Interface and click on the Admin Settings cog icon in the menu. Select the Campaigns tab.

  • Campaign

    To create a new top-level Campaign (first level), select Campaigns at the very top of the sidebar. Then click the New Campaign button in the bottom left of the screen. Continue onto the setup screen.

  • Sub-campaign

    To create a new Sub-campaign (second level), select from the sidebar the Campaign you would like to nest in. Then click the New Campaign button in the bottom left of the screen. Continue onto the setup screen.

  • Sub-sub-campaign

    To create a new Sub-sub-campaign (third level), select from the sidebar the Sub-campaign you would like to nest in. Then click the New Campaign button in the bottom left of the screen. Continue onto the setup screen.

All Campaigns, Sub-campaigns and Sub-sub-campaigns are completed using the same setup screen, which will appear on the right side. Fill in the following information:

  • Campaign Name (Required): The name of your Campaign, Sub-Campaign or Sub-sub-campaign
  • Start Date (Required): Set the start of your reporting period for this Campaign
  • End Date: Set the end of your reporting period for this Campaign; not required, but can be helpful for tracking progress towards your targets
  • Campaign Code: Enter any accounting code you may have for your Campaign, Sub-campaign or Sub-sub-campaign
  • Target Amount: Enter any target you may have to track and report on this Campaign's progress
  • Inactive: Keep this unchecked when creating new Campaigns to make the Campaign active

Click Save to create your Campaign, Sub-campaign or Sub-sub-campaign. Or click Cancel to discard the new Campaign.

 

Editing Campaigns, Sub-campaigns and Sub-sub-campaigns

To edit your Campaign, Sub-campaign or Sub-sub-campaign, hover over the Campaign details to see a blue border. Click into the box or on the pencil icon button in the bottom right corner.

Make any edits to the Campaign and click Save to update changes or Cancel to reset and not save any changes.

Changes will be reflected in any Opportunities linked to the Campaign and in any Reports.

 

Deactivating or Deleting Campaigns

Campaigns can be deactivated or deleted.

However, you won’t be able to deactivate or delete a Campaign if it's linked as the default Campaign for a Fund. When you view such a Campaign you will see the following message: 

  • Cannot be deleted or made inactive as this campaign and/pr one of its sub-campaigns is used as a default campaign for the following items: Funds: (Fund Names), Memberships: (Membership Names).

In addition, you won’t be able to check the Inactive box and the Delete button won’t be visible.

If you’d like to deactivate a Campaign, first make sure that the Campaign is not used as the default Campaign for any Funds or Memberships. You can change the default Campaign in a Fund or Membership

When a Campaign is no longer the default Campaign, the Inactive box can be checked. Deactivate Campaigns by following the edit instructions and checking the Inactive box.

You can still display inactive campaigns by checking the Display inactive campaigns box. Opportunities linked to a deactivated Campaign will be considered an Inactive Opportunity and can’t be edited or closed but can be deleted.

You can delete Campaigns by following the edit instructions and clicking the Delete button in the bottom left.

WARNING: You can’t delete a Campaign with linked Opportunities. You will need to change the Campaigns of these Opportunities first before deleting the Campaign. Deleting Campaigns is permanent and irreversible.
