Purchase Links for Reservations

Purchase Links for Reservations allow outstanding Reservations to be purchased online. 

When set up, customers who make a Reservation will receive a secure, tokenised purchase link in their Order Confirmation email which either they, or someone else they share the secure link with, can click to complete the purchase on your website or a Subsite.

How does it work?

Purchase Links for Reservations can be used by customers to complete payment for existing Reservations which have been processed by your Box Office team.

A unique online purchase link is automatically generated when a Reservation is made and delivered to the customer in their Order Confirmation email.

TIP: Make sure Order Confirmations are set to automatically send. Take a look at Order Confirmation in the Sales Interface for further information.

The customer then click link in the email or share the link with other members of their party, to pay for all or part of the Order and choose a Delivery Method (E-ticket or COBO / Will Call only).

If an Order contains tickets for multiple Events or Instances, when a customer clicks the Purchase Link they can choose which Instances they want to purchase tickets for. By default, customers must purchase all reserved tickets within a selected Instance unless you enable Partial Seat Purchasing which means customers can pay for individual tickets.

Orders with Purchase Links:

  • Follow existing Reservation Timeout rules.
     
  • Automatically deduct any existing deposits paid toward the Reservation.
     
  • Are subject to any fees / Commissions which are calculated when the Basket / Cart is created. Commissions will be applied when the customer clicks the Proceed to Payment button and creates their Basket / Cart.
     
  • Do not need to be purchased by the original Customer. Regardless of who pays for the Reservation, the Order will remain attached to the Customer Record of the original Reservation.
     
  • Customers do not need to sign in or create an account to complete their purchase.

TIP: Using Purchase Links can be particularly useful for School or Organisation bookings, where the customer who makes the initial reservation may want to pass the Purchase Link on to someone in their finance team to complete the order.

We do not currently support Reservation Purchase Links for:

  • Orders paid with stored payment cards in the customer’s Wallet.
  • Orders with postal Delivery Methods.
  • Partial balance or invoice payments.
  • Fixed Series, Subscriptions, Donations or Pledges.
  • Ticket Donations. If you have applied Ticket Donations before reserving the tickets, they'll be automatically removed when the tickets are reserved.

TIP: Reservations can only be paid for through an online Purchase Link - they cannot be created or cancelled.

 

Partial Purchase

When creating the Reservation, you can enable partial seat purchasing if you want to allow customers to pay for part of the Order. This can be useful for customers who are making group bookings, and want to share the link with their group members to make individual payments.

Example scenario

Next, let's look at an example scenario of how a customer could use a Reservation Purchase Link with partial seat booking enabled.

A group leader makes a reservation for 8 tickets to a single Instance. Using the Purchase Link, they pay for 4 out of the 8 reserved tickets. They share the Purchase Link with the other people in their group who are yet to pay. Two further customers then use the link to pay for their individual tickets. After each reservation purchase, the customer who made the initial reservation will receive all currently sold tickets for the Instance.

Depending on your reservation time out settings, once the remaining tickets in the reservation time out they may be automatically released. 

 

How to set up Purchase Links for Reservations

To set up Purchase Links for Reservations you will need to configure a page on your website where customers can complete their orders. Depending on your website integration, there are two ways you can do this:

  • Subsite: using a Subsite is the fastest and most simple solution to provide customers a way to pay for their Reservations.
  • Managed Component: using a Managed Component you can integrate a Reservation Payment page directly into your existing website. To do this you’ll need to provide your web developer with guidance from the Integrate Portal.

Once you have decided your preferred approach, complete the following steps to set up Purchase Links for Reservations:

  1. Configure the Reservation purchase link
  2. Contact Support to update your Order Confirmation email
     

Step 1: Configure the Reservation Purchase Link

To configure the Reservation Purchase Link, follow the steps below:

  1. Navigate to Website Admin > Domain Specific Config. 

    TIP: To access Website Admin, you’ll need the Web Integration Administrator Role. If you don’t have this Role, ask the Settings Administrator in your organisation to add this Role to your User Account.

  2. Click edit on your top level domain. This will be the domain which is listed under your fallback configuration. 
     
  3. Scroll down to locate the Reservation Purchase Link setting: 

  4. Enter the URL of the Subsite page or where the Managed Component is hosted.

To construct the URL, use the following formula for your Subsite or Website page.

 

Subsite

To construct the Purchase Link URL for your Subsite, use the following fomula:

https://purchase.websitedomain.com/Reservations?token={TokenId}

  • Replace purchase.websitedomain.com with your Subsite domain.

The {TokenId} acts as a dynamic placeholder that will be automatically replaced with the unique token of the reservation.

This page is not accessible through your Subsite’s navigation menu. Customers can only reach this page from the unique link generated in the Order Confirmation email.

 

Website

To construct the Purchase Link URL for your Website, use the following fomula:

https://www.yourtheatre.org/reservations?token={TokenId}

  • Replace yourtheatre.org with your website domain.
  • Replace reservations with the specific web page address where your web developer has set up the Reservation payment component.

The {TokenId} acts as a dynamic placeholder that will be automatically replaced with the unique token of the reservation.

 

Step 2: Contact Support

Once you have configured the required settings, Contact Support and ask them to update your Order Confirmation email to include the Purchase Link.

 

How to make a Reservation and send a Purchase Link

Once you have completed the set up, to send a Purchase Link for a Reservation, follow the steps below:

  1. In the Sales Interface, select the seats you want to reserve and add the customer to your Basket / Cart.
  2. Select the tickets by checking the box next to the Event name (to select all) or against each individual ticket, and then click the Reserve button: 

  3. Then, click the edit button next to the Reservation Timeout section beneath the customer’s name: 

  4. Then configure the settings related to the Reservation: 

    • Check the Do not automatically release box if you do not want the Reservation to release after it has timed out.
       
    • Set the time out period. By default, this will be the Default Reservation Timeout you set in the Settings Interface, however, it can be overridden at Order level here.
       
    • Check the Remember timeout value for this session box to remember your choices for the rest of your session. When you log out of Spektrix, the Reservation Timeout will change back to the default settings.
       
    • Check the Allow partial purchase of reservations online box to allow customers to purchase part of the reservation. Without this box checked, customers will need to purchase all tickets within the Reservation.
       
  5. Confirm the Reservation Configuration settings and then click Confirm to make the Reservation.
     
  6. To ensure that the customer receives the Purchase Link, you will need to confirm that you do want the Order Confirmation email to be sent:
