This article is an index of commonly used output metrics found in reports. This library is useful for learning about and understanding the output columns of unformatted Standard and Custom Reports. This is also helpful for selecting the appropriate output columns when building Custom Reports.

Each entry includes a metric’s definition and the wrappers and Report Types the metric will be found in. We've only listed commonly used output metrics, so not all Report Types, wrappers or metrics are listed here.

TIP: Before starting, you should have a comprehensive understanding of running and reading Reports in Spektrix. If you’re building Custom Reports, you should be familiar with the foundational components needed to create your report.

Metrics will be organized by what Report Type and wrapper they are found in, and the index can be viewed in two ways: By Report Type or By Metric Name.

 

Metrics of the Same Name

As you look through the Metrics Library, you may find metrics with the same name. Metrics of the same name will differ based on the Report Type and wrapper.

For example, the Amount metric in the Donation wrapper will display the amount received but will only display when the Item is a Donation. The Amount metric in the Payment wrapper will display the amount received but will only display when the Item is a Payment. This means some rows may have blank cells in one column while some rows have blank cells in another.

In this example, we see a Donation with an Amount of $400 (column D) and a Cash Payment with an Amount of $400 (column C). The Donation has a blank cell in column C as a value will only display if the Item Type was a Payment. Similarly, the Cash Payment has a blank cell in column D, as this Amount refers to Donation Amounts.

How to View Metrics By Report Type

Each entry in this view will have the following components:

  • 1. Report Type

    Metrics are first organized by Report Type. The headings of each section show the name of the Report Type and includes a description about how data is output by row. In this example, the Report Type is Accounting.

    In Spektrix, Report Type is selected at the start of building a custom report:

  • 2. Wrappers

    Under each Report Type heading, you’ll find tabs that represent the available wrappers. In this example, the available wrappers listed in the Accounting Report Type are Donations, Payments and Purchase Items.

  • 3. Metrics

    After you’ve selected the Wrapper tab, you’ll find a table with commonly used metrics. In this example, an available metric in the Donations wrapper in an Accounting Report Type is Amount.

    REMINDER: The metrics in this index refer to the headings in the output columns on unformatted reports only. Formatted reports may share similar column names but may be calculated differently, for example, to include tax and commissions.

  • 4. Description

    The description of the metric in this wrapper and Report Type, which may include links to more information about the metric.

    Some metrics may include Related Metrics in their descriptions. These metrics are accounting metrics that complement each other.

    For example, Price with related metrics NetPrice and VATPrice, where Price is the value of an Item plus tax, NetPrice is the value of an Item excluding tax and VATPrice is the value of the tax on the Item.

    Most accounting metrics follow a similar naming convention where "Metric" is the sum of "NetMetric" and "VATMetric."

    REMINDER: You must use both the correct Report Type and wrapper, as definitions and values for metrics with the same name may differ. Metrics with the same name in the same Report Type will differ if they are from different wrappers.

  • 5. Example

    An example of how the metric will display when output. Common data output formats include:

    1. 00.00: A number value up to two decimal places. If a currency value, currency symbols won’t display. For example, the Price metric.

       

    2. TRUE/FALSE: If the reported item has this value, the cell will display TRUE. If the reported item doesn’t have this value, the cell will display FALSE. For example, the Never Booked metric.

       

    3. 1/0: If the reported item has this value, the cell will display 1. If the reported item doesn’t have this value, the cell will display 0. For example, the Subscription is Current metric.

       

    4. Text: A text value. For example, the Item Name metric.

       

    5. YYYY-MM-DD hh:mm: A date and time value displayed by year, month number, date, hour (24-hour format) and minutes. For example, the Date Confirmed metric.

 

Accounting

Accounting Reports show a row for each action in a transaction. They show how much money was taken and the end financial result. Accounting Reports are generally used by the Finance and Box Office teams for financial reconciliation.

    Potential Duplicate If the Customer Record has been flagged as a potential duplicate of another Customer Record, based on matching first initial, last name and parts of the address (postcode/zip code or first line of the address), then the cell displays TRUE if a potential duplicate. TRUE/FALSE
  • Donations

    Metric Description Example
    Amount The amount received as a Donation in a transaction. If a transaction takes multiple Donations, for example, a Donation to a General Operating fund and a Donation to an Education fund, a line will be displayed for each Donation. 00.00
    Gift Aid Claimable If the Donation can be claimed as Gift Aid and if the Customer has made a Gift Aid Declaration that starts before today (the day the Report is run) and ends after today (the day the Report is run), then the cell displays TRUE. The Donation must not have been opted out of Gift Aid. TRUE/FALSE
    Gift Aid Claimed If the Donation has been successfully claimed as Gift Aid using the Spektrix Gift Aid Claim tool, then the cell displays TRUE. TRUE/FALSE
    Membership Name If the Donation was received as a portion of a Membership, then the cell displays the name of the Membership as entered in the Membership details. Text

    • Percentage based: The decimal value. For example, 20% will display as 0.20.
    • Value based: The value. For example, $5 will display as 5.00.

Activities

The Activities Report shows a row for each Activity and for each link to an Individual/Organisation. This Report is intended for Opportunities Interface users.

  • Campaigns

    Metric Description Example
    Active If the Campaign, Sub-campaign or Sub-sub-campaign has the Inactive box unchecked, then the cell displays TRUE. TRUE/FALSE

Analysis

Analysis Reports show a row for each item sold or returned. Items include Tickets, Reservations, Merchandise and Gift Vouchers. Analysis Reports are usually used by the Box Office and Marketing teams. Analysis Reports also have the largest number of secondary tables (Wrappers) available.

    Booked Once If the Customer has booked Tickets for only one Event ever, then the cell displays 1. This includes if they've booked for multiple Instances within the same Event or have bought Tickets for the same Event through multiple Orders. If they later return their Tickets, then they are no longer considered having booked once. 1/0
    Never Booked If the Customer has never booked Tickets for any Event ever, then cell displays TRUE. If a Customer returns their only Tickets to any Event, then they will revert back to the Never Booked status. TRUE/FALSE

Campaigns

Campaign Reports show a row for every item related to each Campaign. This Report is only available to Opportunities Interface users.

 

Customer

Customer Reports show a row for each customer in the database. They are often used to guide Marketing decisions.

  • Customers

    Metric Description Example
    Active If the Customer Record has the Active box checked, then the cell displays TRUE. TRUE/FALSE
    Booked Once If the Customer has booked Tickets for only one Event ever, then the cell displays 1. This includes if they've booked for multiple Instances within the same Event or have bought Tickets for the same Event through multiple Orders. Customer Audit

A Customer Audit Report shows a row for each Customer Audit. This is useful for tracking changes made to Customer accounts.

Event Instance Reports show a row for each Event Instance, providing summary data about each one such as number of seats sold, masked, locked etc.

Mailing ROI

Mailing ROI Reports show a line per Mailing per related Event, as well as summary data to do with the success of the mailing. These types of reports are useful for the Marketing team to track return on investment.

Membership Reports show a row for each membership. They can be filtered to show active or expired Memberships. Membership reports are generally used by Marketing and Development teams.

    Active If the Customer Record has the Active box checked, then the cell displays TRUE. TRUE/FALSE
    Never Booked If the Customer has never booked Tickets for any Event ever, then cell displays TRUE. If a Customer returns their only Tickets to any Event, then they will revert back to the Never Booked status. TRUE/FALSE

  • 1. Metrics

    You’ll find tabs that represent listed metrics. In this example, we see the metrics Amount, Levy, NetLevy and Price.

    REMINDER: This index lists only commonly used metrics. Not all metrics are listed here.

    In Spektrix, available metrics will appear when a wrapper is opened when selecting Output:

    REMINDER: The metrics in this index refer to the headings in the output columns on unformatted reports only. Formatted reports may share similar column names but may be calculated differently, for example, to include tax and commissions.

  • 2. Report Type

    This column lists all the Report Types the metric is available in. In this example, the Amount metric is found in the Accounting, Analysis, Campaigns and Sales Report Types.

    In Spektrix, Report Type is selected at the start of building a custom report:

  • 3. Wrappers

    This column lists the wrappers the metric can be found within that Report Type.

    In this example, the Amount metric is found in the Payments and Donations wrappers in Accounting and Analysis Report Types, the Campaign Items wrapper in the Campaigns Report Type and the Donations wrapper in the Sales Report Types.

    REMINDER: A metric can appear in a Report Type more than once under different wrappers. However, these metrics will have different definitions and may not output the same values.

    In Spektrix, wrappers will appear under Available Columns when selecting Output:

  • 4. Description

    The description of the metric in this wrapper and Report Type, which may include links to more information about the metric.

    Some metrics may include Related Metrics in their descriptions. These metrics are accounting metrics that complement each other.

    For example, Price with related metrics NetPrice and VATPrice, where Price is the value of an Item plus tax, NetPrice is the value of an Item excluding tax and VATPrice is the value of the tax on the Item.

    Most accounting metrics follow a similar naming convention where "Metric" is the sum of "NetMetric" and "VATMetric."

    REMINDER: You must use both the correct Report Type and wrapper, as definitions and values for metrics with the same name may differ. Metrics with the same name in the same Report Type will differ if they are from different wrappers.

  • 5. Example

    An example of how the metric will display when output. Common data output formats include:

    • 00.00: A number value up to two decimal places. If a currency value, currency symbols won’t display. For example, the Price metric.

       

    • TRUE/FALSE: If the reported item has this value, the cell will display TRUE. If the reported item doesn’t have this value, the cell will display FALSE. For example, the Never Booked metric.

       

    • 1/0: If the reported item has this value, the cell will display 1. If the reported item doesn’t have this value, the cell will display 0. For example, the Subscription is Current metric.

       

    • Text: A text value. For example, the Item Name metric.

       

    • YYYY-MM-DD hh:mm: A date and time value displayed by year, month number, date, hour (24-hour format) and minutes. For example, the Date Confirmed metric.
